In the event of an emergency, fire, explosion, medical emergency, security are briefed to proceed as
follows:
- Emergency assembly point is at opposite end of venue at overflow parking
area (see attached parking layout) - In the event of an emergency, the P.A. system will be used to announce to the
guests that they should immediately:
a. Vacate the space they are in and move towards the designated
walkways
b. Follow prompts from security officials - Security staff will then guide the guests to the exit and usher them towards the
emergency assembly point. - Once at the assembly point, guests will be asked to identify if all their attendees
are all present and if not, security will comb the area again to locate any other
people - Security staff will make contact with the Event Manager, who will resolve the
matter with the help of the necessary emergency officials, Fire, Bomb Squad,
the nearest hospital, etc. etc. - Once resolved, Event Manager to contact security staff at the emergency
assembly point to allow guests to return to the venue.
MEDICAL CONTROL MEASURES
STAFF COMPLEMENT:
a) 1x OHAS Supervisor/Safety Officer
b) 2x qualified first aiders
c) See attached certificates of competency
FIRST AID STATION:
- First aid station to be located at the entry point and will be demarcated with a
sign - 2x qualified first aiders will man the station

- First aid station to have a fully equipped first aid kit for treatment of any nicks,
cuts, scratches or other minor injuries should any of the guests suffer such injury. - All incidents of treatment to be logged on an incident sheet stating the nature
of the injury, how it occurred and what treatment was administered
EMERGENCY PLAN: - For any injury that requires more than first aid treatment, the nearest hospital is
Retreat Day Hospital within 5km from the venue, and although the occurrence
of such an injury is HIGHLY unlikely, the process will be as follows:
a. 2 appointed Supervisors handle various tasks on the Event Manager’s
behalf throughout the day with a small crew of general workers.
b. Should such an injury occur, one Supervisor + crew to utilize the Retreat
RFC stretcher in the clubhouse store, load the injured person into a
vehicle, and transport to Retreat Day Hospital for treatment.
c. Should a patron be injured to a point that they cannot be transported
as per above, the details for Retreat Day Hospital are below, and they
will be contacted in the highly unlikely event for a pick up:
